Archiving Retention

Archiving and Retention

Data retention and destruction of unwanted data is critical for the enterprise. As data volume, variety and regulation continues to grow organisations are looking to improve and reshape the management of their critical environments for compliance and discovery reasons. Some are also looking to mine this information for knowledge.

Benefits

  • Increased user productivity
  • Improved MS Exchange performance
  • Reduced IT costs
  • Reduced legal risk
  • Minimal e-Discovery costs

Leading analysts say that more than 50% of organisations in Europe and North America have some records management capabilities but very few have lifecycle “retention and destruction” strategies. Instead, users are left to manage this content placing an undue load on IT departments that are focused on resilience, backup & recovery and business continuity.
KnowledgeMill believe that there is an alternative.  Our approach is to focus on an organisation’s key data repositories, bring together all relevant data items and present them to users in a single interface to the user whilst enabling a business driven lifecycle policy to manage data retention and destruction.

Our business context approach will make it easy for relevant items to be identified for retention. Business emails will be tagged and separated from all other. The data can then be retained in a highly available state while it is of business interest and will start to reduce its availability, automatically, as it becomes less important for the business. An example is when a project is active the relevant emails for that project will be immediately available but, once the project is closed, its data is migrated to less costly systems.

How Do We Do It?

We have desktop and a server agents depending on your choice we can run a seamless automated policy in the background that applies the business rules to the items to be retained and for how long (depending on criticality, time, jurisdiction and other factors). Our technology will ingest personal archives (PST) files and other archived items via their stubs without having to ingest them back into Exchange.

Through our OnePlace user interface the users can also tag items or simply file them giving them the relevant business context that enables our technology to apply the correct business policy to those items.

Our Differentiating Technology

  • Configurable and granular archiving policy rules
  • Replication of users’ mailbox folder structures
  • Seamless access to all email data
  • Continuous PST archiving (No more quotas)
  • Integrated search
  • Migration tools and Transparent user experience

Benefits of Our Approach

  • Easily accessible content through a unified interface
  • Improved environment management
  • Lowered cost of e-Discovery
  • Less operating cost
